It is never designed. And so it lives in inboxes, in habits, and in the memory of whichever person has been there longest.
It holds, right up until it does not. Someone resigns. The organisation doubles. A funder asks for evidence. And it becomes clear that what looked like a company was largely one person's recall.
BriefDesk was founded on the argument that this work deserves to be designed. That administration, done properly, is the architecture that lets an institution outlive the people who built it. We named the discipline Administrative Intelligence, and it is the basis of everything we do.
Everything we design is documented and owned by the client. If bringing a function in house becomes the better decision for you, we help you do it properly rather than making it difficult.
A system nobody wrote down will be reverse engineered under pressure by someone who was not there. What is written down survives turnover, growth and time.
Automating a broken process makes the damage arrive faster. We map and document first, always, even when the client would prefer we skipped it.
No frameworks that only make sense to the person who built them. We test documentation by having someone unfamiliar with the process try to follow it.

The test is not client satisfaction at handover. It is whether the system is still in use, and still current, a year later.
A small senior team. Every engagement is personally overseen, and you always know who is doing your work. We add capacity deliberately, when the work requires it, rather than pooling people you never meet.

Over a decade running operations for institutions where failure is not an option. She drove documentation and audit readiness for a large tertiary hospital through three international accreditations with zero adverse findings, and now runs operations and governance for a university network spanning East Africa, Central Asia and Europe.
She created the Administrative Intelligence framework and is the author of The Invisible Architecture and The Person Who Keeps It Moving. Certified across data analytics and machine learning, with deployed projects to match.

Head of Technology and Systems
David owns the technical side of delivery: the systems, the automations, the documentation architecture behind every engagement, and the training that lets a client's own team run what we build.
He holds degrees in Computer Science and in Mathematics and Computer Science, with certifications spanning networking, cybersecurity and programming. He came to BriefDesk from e-learning and healthcare, where he built the record systems and learning structures that let people find what they need.
BriefDesk is a young firm led by people with a long record. These are outcomes our founder delivered inside the institutions she ran operations for.
You may be considering letting an external team inside your finance, people or customer systems. These are the questions you should ask, answered before you have to.
We work under a mutual NDA as standard, signed before any assessment work begins. Client names are never published without written permission, which is why some of our work will never appear on this website.
We work inside your systems, under access you grant and can revoke at any time. We do not migrate your data into BriefDesk owned tools. Where we must hold a copy, it is in a named location agreed with you and deleted on a schedule stated in the contract.
Access is provisioned by named individual, never by shared account. It is reviewed periodically and revoked on the day a team member leaves your account. You receive a current access list on request.
Client data is never used to train third party models. Model and vendor selection is disclosed per use case. Every deployed system has a documented process underneath it, a defined human review point and a named owner, and you can disable any AI component at any time.
A single named relationship owner. A shared workspace rather than scattered email threads. Weekly progress notes during build projects. A monthly report on the same date every month during ongoing engagements, sent without you asking.
Our own processes are documented to the standard we apply to clients. That is what lets us cover for each other without your work stopping, and it is the same discipline we are selling you.
We operate finance processes. We do not provide audit, tax advice or statutory sign off, and we do not replace your accountant. We operate people processes. We do not give employment law advice, act as employer of record, or make employment decisions. We are not a recruitment agency, a law firm or a software vendor. Where you need those, we will tell you and work alongside them.
