Systems Audit

Find out how your organisation actually operates.

Three weeks. Scored across five domains. A ranked list of what to fix and in what order. The fee is credited against whatever you decide to do next.

You are here because

One of these is probably true.

Something broke, and only one person knew how it worked

The immediate problem got solved. The underlying exposure did not, and you suspect there are others like it.

You are about to grow, hire, raise or hand over

And you are not confident the foundations will hold the weight of what comes next.

You have been told you need better processes

Which is true and useless in equal measure, because nobody has said which ones or in what order.

You bought a consulting report before and nothing happened

The analysis was probably fine. Nobody had capacity to act on it, and the recommendations were not sequenced for a real organisation.

What we do

We look at what happens, not what the policy says should happen.

We interview the people who actually do the work, review whatever documentation exists, walk your processes end to end, and examine the systems holding it together. Then we score you across the five domains of administrative intelligence and tell you, specifically, where the structure is thinnest.

Domain 01

Documentation and institutional memory

Whether what the organisation knows is retrievable by someone who was not there when it was learned.

Domain 02

Process design and handover

Whether work moves cleanly between people and stages, or stalls at every boundary.

Domain 03

Decision support and information flow

Whether decision makers have what they need at the point they need it.

Domain 04

Coordination and role clarity

Whether people know who does what, and whether those boundaries hold under pressure.

Domain 05

Continuity and inheritability

Whether the organisation can outlive the people currently occupying its roles.

The output

One number, five scores, and a plan

An Administrative Intelligence Index, a breakdown by domain, and a sequenced twelve month roadmap with effort and cost attached to each item.

How it runs

Three weeks, start to presentation.

1

Kickoff and evidence gathering

We agree scope and access, then run structured interviews across levels, from leadership to the person who actually processes the invoices. We collect whatever documentation exists, in whatever state it exists.

2

Process walkthrough and systems review

We follow your priority processes end to end, watching where work stalls, gets re-keyed, or depends on one person's judgement. We review the tooling, the data quality and the reporting.

3

Scoring, findings workshop and report

We score the five domains, then run a findings workshop with your leadership before the report is finalised. If a finding is uncomfortable, you hear it in the room first. Nothing in the final presentation is a surprise.

What arrives

Deliverables.

Assessment

Administrative Intelligence Index, overall and by domain · process inventory with ownership mapping · single point of failure register · documentation gap analysis · systems and tooling assessment · data quality review

Direction

Ranked findings with severity and effort scoring · twelve month sequenced roadmap · indicative cost and effort per item · quick wins executable within a quarter · executive presentation and question session

What you own

The complete report, the roadmap and every artefact produced. If you take it to another firm, or execute it yourself, it works exactly as well. That is deliberate. An audit that only makes sense if you hire us afterwards is not an audit, it is a sales document.

Fixed fee, banded by size, credited back.

Priced by headcount, number of functions in scope, and how many sites or entities are involved. You get the exact number before you commit to anything. The full fee is credited against any engagement you start within ninety days of the report.

Common questions

Before you book.

How much of our time will this take?

Five to ten people for about an hour each, plus access to whatever documentation exists. Leadership gives roughly three hours in total across kickoff, the findings workshop and the final presentation. We work around your calendar rather than the other way around.

What if we already know what is wrong?

Most clients are right about the symptom and wrong about the cause. Slow invoicing is rarely an invoicing problem. High turnover in an admin role is rarely a hiring problem. The audit is worth doing precisely because it removes the guessing before you spend money acting on a hunch.

Is this the same as the free assessment?

No. The free assessment is self-scored, takes twelve minutes, and gives you a score and three priorities. The audit is evidence based, involves your team, examines your actual systems, and produces a costed plan. Start with the free one. It will tell you whether the audit is worth your money.

Will you tell us things we do not want to hear?

Yes, and you should treat it as a bad sign if we do not. Difficult findings are delivered in the workshop first, privately, so leadership is never surprised in front of a wider audience.

Do we have to use you afterwards?

No. The roadmap is written to be executed by your own team or by anyone else you choose.

Will you need access to sensitive data?

We need to see how processes work, which sometimes means seeing live records. We work under an NDA as standard, use access you grant and can revoke, and do not move your data into our systems. Detail on How We Work.

Three weeks from now you could know exactly where you stand.

Tell us the size of the organisation and what prompted the question. We will come back with a scope, a fee and a start date.
